Office Manager US

Job Purpose/Summary:

Reporting into the Head of Corporate Real Estate and Facilities Management, the role will cover the two offices in the US (Cherry Hill, NJ and New York City) to ensure a great experience for Kindred staff based in these locations with office space, support and compliance. The role will report into the central Facilities Management team to ensure alignment and high standards required in the group.

 

Duties and Responsibilities:

Facilities Management

  • Be responsible for our two US offices (New Jersey and New York City) with possibility to an increased office portfolio.
  • Ensure cleaning, catering, security, health and safety and daily operations etc. are working seamlessly in all offices including inventory, order placement and uptime of services.
  • On site support but also remote support for staff not based in the same office as this role.
  • Manage all service requests made through our internal ticketing system to ensure requests are responded to within department SLA's and at highest customer service levels
  • Ensure the appropriate processes are in place, and are regularly reviewed, to continually enhance the service provided for the Kindred staff
  • Pro-actively manage seating and space planning to create maximum efficiency whilst ensuring adherence to group standards
  • Coordinate, handout and register phones, laptop and other required equipment for Kindred staff according to group policies
  • Upkeep asset management registry of Kindred assets and equipment in our offices and handed out to Kindred staff working from home.

Communication

  • Pro-actively communicate information about the office and related facilities services
  • Regularly present important office information at office meetings/forums (breakfast sessions, management meetings, emails and Jive etc.)

Compliance

  • Conduct and record regular facilities inspections and audits
  • Ensure all site documentation meets compliance requirements and is regularly updated
  • According to the OSHA law, upkeep and provide a safe workplace for Kindred staff aligned with the central Health and Safety standards in Kindred group
  • Manage the Physical Security on site with legal requirements, maintenance and contracts with support from our CRE & FM Operations Manager.

CSR

  • Drive local CSR projects, collaborating with Kindred United to drive engagement
  • Create relevant CSR data and submit the annual carbon footprint print for your local office when required

Finance

  • Develop and pro-actively manage office budgets. Review and manage all facilities management related expenses, PO's and invoices
  • In conjunction with Procurement team oversee vendor selection process, manage contractor and vendor relationships, ensuring delivery schedules, quantity and quality criteria are met with agreed SLA's

 

Travel may occur as needed to other office locations in other states and may need to be on-call at times.

 

What have you done?

  • Minimum 3 years' experience as an Office Manager,
  • Experience of health and safety management is essential
  • Experience of vendor management, contract management and budget control is essential
  • Experienced in targeting a high standard of customer service for a high paced and diverse environment
  • Experience of working with managing operational issues related to an office environment
  • Experience of cost centre/ budget responsibility
  • Knowledge and understanding of managing a flexible working environment
  • Minimum 3 years' experience as an Office Manager,
  • Experience of health and safety management is essential
  • Experience of vendor management, contract management and budget control is essential
  • Experienced in targeting a high standard of customer service for a high paced and diverse environment
