Office Manager (Maternity Cover 12 Month FTC)


The role


Kindred Group are recruiting for a office manager (12 months maternity cover) in our London office in Wimbledon.


You should be comfortable working within a fast passed, continually growing and highly successful business, the rightful candidate for this exciting role will be responsible for our Wimbledon office (where we have our own building) establishing best practices that encourage and deliver a Great Place to Work. Reporting to the Head of Facilities Management, you will have previous experience in a role managing a local facilities team as well as an international approach to collaboration and communication across multiple cultures. The role includes travel about 4-5 times per year to other office locations to attend workshops and meetings; and on-call may be included.


What will you be doing?


Leadership and communication:

  • Lead, motivate and develop local facility/office team of 4 people to demonstrate best practice and deliver the highest levels of customer service
  • Set and follow up goals for your team and ensure that they are aligned with company and department goals; distributing tasks and being responsible for the daily operations
  • Manage relationships with key stakeholders across the company to ensure all operational service lines are meeting, and where possible, exceeding business requirements

Facilities management & compliance:

  • Manage all service requests made through our internal ticketing system to ensure requests are responded to within department SLA's and at highest customer service levels
  • Ensure the appropriate processes are in place, and are regularly reviewed, to continually enhance the service provided by your team
  • Pro-actively manage seating and space planning to create maximum efficiency whilst ensuring adherence to group standards
  • Conduct and record regular facilities inspections and audits and ensure all site documentation meets compliance requirements and is regularly updated
  • Collaborate with the group Environmental Health and Safety advisors, the Security team and other relevant teams, to ensure compliance company standards and industry codes are met

CSR & Finance:

  • Create relevant CSR data and submit the annual carbon footprint print for your local office; and drive local CSR projects, collaborating with Engagement group
  • Develop and pro-actively manage office budgets.
  • Review and approve all department expenses, PO's and invoices
  • In conjunction with Procurement team, oversee vendor selection process, manage contractor and vendor relationships, ensuring delivery schedules, quantity and quality criteria are met with agreed SLA's


How you will be measured?


  • Quarterly Office survey's measuring the satisfaction with the office and service provided by the team
  • Response times for service request compared to agreed target times
  • Delivery according to agreed objectives and key results
  • Regular performance reviews with your line manager
  • Maintaining compliance with all relevant training and other compliance activities in order to support the delivery for sustainable and responsible growth
  • Acting in line with Kindred's values


What have you done?


  • Minimum 3 years' experience as an Office Manager 
  • Experience from UK Health and safety regulation
  • Well versed in vendor management, contract management and budget control
  • Experienced in targeting a high standard of customer service for a fast-paced, diverse environment
  • Used to managing operational issues related to an office environment
  • Ability to lead and manage staff, including recruitment, performance reviews,  managing a flexible working environment, etc.
