Reporting into the Facilities Manager, your main role is to manage administrative tasks and office duties to ensure company processes and compliance run smoothly. You will cover the front desk of our fantastic office in Wimbledon, London and work closely with the Facilities Manager and Corporate Real Estate and Facilities Management team.

You have excellent interpersonal skills, ability to maintain a strict level of confidence and your communication and organizational skills will be exceptional.

Reception duties

  • Cover the Kindred London reception Mon-Fri 08.30-17.30 and give all our employees excellent service
  • Welcome visitors and assist in signing in and out in our visitor management system
  • Answer the Switchboard, reception mobile and common team mail inbox
  • Handle incoming and outgoing mail
  • Book shipments
  • Ensure that the reception area, lobby, and external meeting rooms is always tidy and representable.
  • Unpack and sort deliveries
  • Plan and perform office tours for new hires

 

Administrative support

  • Travel arrangement bookings
  • Order general office supplies
  • Maintain the Facilities Management Services - and new starter requests coming in via our internal ticketing system, distribute and handle the requests.
  • Keep the seating plan updated at all times
  • Assist in vendor relationship management, supplier negotiation

 

Event & meeting preparations

  • Order lunches, according to policy
  • Event planning and execution for inhouse and external events
  • Assisting with any meeting room issues

 

Physical Security/Compliance

  • Administrate our different visitor systems
  • Create and manage ID cards for employees/consultants and suppliers

 

Health & Safety

  • Assist in case of accidents or incidents and create reports according to policy
  • Report any near misses found in the office

 

Other responsibilities

  • Communicate office updates and info in our Intranet, per mail and on internal presentations.
  • Collect data and document the annual Carbon Footprint
  • Support the Facilities Manager with various tasks
  • Participate in various Office projects / support
