Job Description

The Workplace Coordinator is responsible for the Sydney and Darwin offices and supports the Regional Facilities Manager in delivering safe, compliant, and efficient workplace operations. The role manages day-to-day services, coordinates local contractors, and ensures compliance with H&S legislation. It also supports ISO 27001 and ISO 14001 standards, contributes to internal and external events, engages with staff, and maintains accurate workplace and financial records. Acting as the first point of contact on site, the role ensures a professional, welcoming, and consistent workplace experience while aligning with global standards, processes, and group KPIs.

 

Key Responsibilities

Workplace Operations

  • Act as first point of contact for workplace and facilities requests, issues, and incident escalation.

  • Oversee day-to-day services including reception, maintenance, cleaning, security, and amenities.

  • Coordinate contractors and service providers, ensuring delivery in compliance with H&S legislation, ISO 27001, ISO 14001, service levels, and company standards.

  • Conduct site inspections, maintain compliance documentation, and ensure audit readiness.

  • Administer access cards, lockers, CCTV, and manage security processes.

  • Act as fire warden/first aider and support emergency procedures.

  • Support office moves, refurbishments, and small projects.

  • Maintain and update workplace systems and tools, including Symmetry, visitor management systems, intranet, and Jira.

  • Record and reconcile local invoices and purchase orders, supporting budget control.

  • Assist with budgeting, forecasting, and cost optimisation for workplace services.

  • Contribute to sustainability and ESG reporting for site operations.

  • Support onboarding and facilities induction for new employees.

  • Support and coordinate local risk assessments.

  • Contribute to group KPI reporting, including service performance, compliance metrics, and utilisation data.

 

Culture & Engagement

  • Support a welcoming and inclusive workplace culture.

  • Plan and deliver internal and external events including wellbeing, staff and company activities, and seasonal celebrations.

  • Coordinate staff engagement programs such as sporting, fitness, and cultural activities.

  • Update internal channels (e.g., intranet/Konnect) with workplace and culture activities.

  • Promote employee experience by balancing service delivery with operational excellence.
